Job description

Job Responsibilities

1. Supervise harvesting administrative staff including; AP, AR, Payroll, and Receiving

a. Ensure Office work being performed is accurate and timely by office staff. This will include various spot-checks on a weekly basis

b. Office Supervisor will need to be willing and capable of absorbing and/or reorganizing workload as office staff takes PTO

c. Monitor Office staff’s performance and maintain a PTO calendar for Office

d. Help Company Manager facilitate a smooth Pre-Season setup of new; piece-rates, per-diems, cost-centers, company housing accommodations, wages and harvester receiving info with appropriate customers

2. Ensure current banking and insurance services are meeting Company needs

3. Assist Company Controller with Misc. Reports

4. Maintain accurate and detailed P&L’s by crop categories; broken out by season as well as by fiscal year

5. Perform Seasonal Recap on each crop harvested; evaluating that total dollars proof out for units, revenue, and expenses. These Company figures will then need to be compared and reconciled against customer’s seasonal recaps as needed

6. Help Company Manager Create and Maintain Harvest Operational Calendar

7. Once Payroll is in balance with Customer Receiving Information, generate Budget vs Actual Labor Tracker. Identify, verify and flag any cost outliers that will need to be reviewed by the Company Manager

8. Maintain Government IFTA reporting for Commercial Vehicles

9. Maintain appropriate Fuel Tax reporting for interstate commerce

10. Proof read and flag annual changes in harvest agreements for Company Manager

11. Help facilitate and integrate new systems and processes to increase company’s efficiencies including; electronic timecard systems, electronic receiving-data imports from customers and electronic freight-data imports from subhaulers

12. Help Company Manager and Controller on various tasks as needed

13. Reports to Company Manager and Controller


• Bachelor’s Degree in Accounting or a minimum of 5 years’ experience preferred

• The ability to supervise employees with an emphasis on team work and employee development

• The ability to work under pressure and with deadlines

• Proficient with Microsoft Office, Excel and Famous software
