Job description

Primary Duties:

  1. Ensures that time sheets are turned in a timely manner;
    1. Verifies that timesheets are completed accurately
    2. Verifies with management for any discrepancies on timesheets
  2. Perform calculations from worksheet for regular and piece rate crews
  3. Process daily and weekly timesheet entries for calculations and balances;
    1. Code timesheet
    2. Separate all NPT and Productive time
    3. Ensure hash is balanced with employee number
    4. Balance on calculation tape
    5. End of week ensure all balances and coding is correct
    6. Ensures spreadsheet are up to date
    7. Ensures employee sick hours have been added to both spreadsheet and AS400/Agknowledg
  4. Process billing and cost reports weekly
  5. Process payroll check runs and off cycle checks runs when requested;
    1. Regular Payroll
    2. Vacation
    3. Sick
    4. Termination
    5. Stop Payments
    6. Etc
  6. Address employee complaints about their personal payroll and notify management
  7. Print weekly time sheets and sign out sheets for all crews
  8. Ensures pay rates are accurate and updated on spread sheets, payroll notifications, rate forms, etc.
  9. Complete new hire registrations and assist applicants with;
    1. Application
    2. I9 verification (valid documentation)
    3. W4
    4. 2810.5 Pay Rate Form
  10.  Enter new hire and update rehire applications into AS400/Agknowledge
    1. Complete employee file folder and file away as soon as possible
    2. Complete and file away I9
    3. Employee file folder should be filed away immediately and not on payroll clerk desk for more than one week
  11. Ensures to notify Benefits, Human Resources, Accounting departments of any terminations;
    1. Ensure employee status is updated and termination date entered
    2. Remove file from active to terminated
    3. Remove I9 from active to terminated
    4. Ensures all terminated documentation is filed away in file
  12. Assist with direct deposit wiring as needed and requested for the following companies;
    1. Western Harvesting
    2. Western Harvesting Transport
    3. Cold Valley Farms
  13. Check registers for all companies on a weekly basis for accounting purposes

 

OTHER DUTIES:

  1. Customer service to all who walk-in to office (Vendors/Employees/Management/etc.)
  2. Ensure filing is done on a weekly basis and not accumulate
  3. Scanning Data entry
  4. Making copies of payroll forms when needed
  5. Mail out certified letters
  6. Pick up mail from mailbox
  7. Provide copies of W2’s, misc. documentation to management and or employees
  8. Answer phones
  9. Schedule fed-ex pick ups
  10. Ensures that file cabinets are updated active vs non active files
  11. Updates end of year forms
    1. Payroll
    2. W4
    3. 1095
    4. Etc.
  12. Maintain a clean and organized work environment;
    1. Desk
    2. Office
    3. Etc.

 

 QUALIFICATIONS:

  1. Professional demeanor
  2. Attention to detail
  3. Detail and accurate Data entry
  4. Computer Skills – Must be computer literate and proficient in Microsoft Excel/Word/ Outlook.
  5. 10 key calculator
  6. Team work
  7. Knowledge of office equipment
  8. Able to lift 15 lbs. to 25 lbs.
  9. Respectful and courteous
  10. Confidentiality
  11. Organized
  12. Able to adapt to changes as needed
  13. Flexible work schedule when needed
  14. Bilingual and bi-literate in English/Spanish.

 

OTHER SKILLS and ABILITIES:

  1. Must be a self-starter with minimal supervision, able to work independently and in a team environment and have excellent organization skills.
  2. Mathematical Skills.
    1. Must have strong mathematical skills and the ability to apply concepts of basic algebra.

 

EDUCATION and/or EXPERIENCE:

  1. High school diploma or equivalent
  2. 2 year experience in a payroll role
  3. Knowledge of,
    1. Piece rate
    2. NPT “Non Productive Time”
    3. Numerical skills
    4. Wage Labor Laws for both CA/AZ
